The 4D inbox trick: do, defer, delegate, delete
Your inbox is not a to-do list. It's more like a waiting room — and most of us treat it like a couch we never get off.
Here's a five-minute habit that gives you those minutes back every day: the 4D email trick. Open an email, give it exactly one of four moves, and then move on.
Do it. If it takes under two minutes, just do it right now. A reply, a quick confirmation, an RSVP. Done beats filed.
Defer it. If it needs real time, don't let it sit there silently. Snooze it or set it aside with a specific later time attached. A vague "I'll get to this" is where emails go to die; a specific time is a promise.
Delegate it. Not your circus? Send it to the right person with one line of context. Don't let someone else's request live rent-free in your head.
Delete it. Or archive it, if delete feels too dramatic. If a message needs nothing from you and you'll never search for it again, let it go. Unsubscribing counts here too — one extra tap today, ten fewer emails forever.
The real magic isn't the four Ds. It's the "only once" part: you touch each message a single time instead of re-reading it four times while feeling faintly guilty. Open, decide, done.
Try it in your next inbox session. Five minutes in, your unread count stops being a mood and starts being just a list.
